Writing Your Letter
Important: Anyone, anywhere in the world, can contact a European MP with their concerns—there’s no restriction, so you could choose three at random and write to them directly.
We’re not providing a full copy‑and‑paste letter because identical emails sent in large numbers are automatically flagged as spam by parliamentary mail systems, which means your message may never reach your MEP. Personalised messages—written in your own words, even if they follow the same key points—are far more likely to be delivered, read, and taken seriously. A short, individual note shows genuine public engagement rather than automated campaigning, giving your concerns a much stronger impact.
However, by following the guidance below, you should be able to write a strongly constructed email. When sending your email, try to use these following steps:
- Make it personal. Use the name of the person you are contacting if possible. Tailor your message to their role (As an EU representative, As a member of Parliament etc….)
- Get to the point. I wish to bring your attention to….no need to say anything else in introduction.
- Keep it professional. No swearing or use of slang terms.
- Be polite. Nobody is going to respond well (if at all) to an angry message.
- No accusations. For example: “I am sure you will be just as concerned about this matter as I am”. This gives them the opportunity to treat it as a new issue that’s just been brought to their attention.
- Include some evidence to back up your statements. Documents, details etc…
- Read it back before sending. Typos and repetitive words happen and you want it to be easy to read and understand.
- Sign it off appropriately, ‘a concerned constituent’, ‘a concerned resident’ or perhaps a member of the North Atlantic Fellas Association. Use whatever leverage you think might work.
